Introduction
These Terms and Conditions apply to registrations, speaking, sponsorship, media partnerships and use of the website for the Global Future of BPO, Shared Services & GBS Conference (“the conference”). The conference is organised by Harvinder Singh, Kastanova 670/D, 289 24 Milovice nad Labem, Czech Republic, Trade Licence (Živnost) 02568519 (“the organiser”).
The General Terms apply to everyone. Parts A to D set out the additional terms for delegates, speakers, sponsors and partners, and media partners.
General Terms and Conditions
Privacy
Personal data is processed as described in the Privacy Policy.
Photography, Recording and Event Content
The conference may be photographed, filmed and recorded by the organiser, media partners or authorised third parties. By attending, delegates, speakers and partners acknowledge that photographs, video, audio and other event content may be captured and used or shared by the organiser for conference-related communications, event materials, promotion and future conference activities.
Event Access and Conduct
- Everyone attending must wear their conference badge at all times during the event.
- Participants are expected to behave professionally and respectfully. Harassment, discrimination and disruptive behaviour are not tolerated.
- The organiser may refuse entry to, or remove, anyone who breaks these rules, without a refund.
Programme Changes
The organiser may make reasonable changes to speakers, sessions, timings, venue or other event arrangements where necessary.
Postponement or Change of Format
If the conference is postponed due to circumstances beyond the organiser’s reasonable control, registrations transfer to the rescheduled event. No refund is issued; the amount paid remains as credit towards attendance at the rescheduled conference.
If the conference has to move online for the same reasons, registrations remain valid for the online event and no refunds are issued.
Liability
To the extent permitted by law, the organiser accepts no liability for loss of or damage to personal property, or for indirect or consequential loss, arising from attendance at or participation in the conference. Nothing in these terms limits liability that cannot be limited under applicable law.
Website Use
The content of this website is provided for information about the conference and may not be copied or reused for commercial purposes without the organiser’s permission. The use of cookies is described in the Cookie Policy.
Changes to These Terms
The organiser may update these terms. The version published on this page at the time of booking or agreement applies.
Governing Law and Jurisdiction
These terms are governed by the laws of the Czech Republic. Disputes fall under the jurisdiction of the courts of Prague, Czech Republic.
Part A, Delegates
Registration and Confirmation
Submitting a booking, online or using the booking form, is a request to register for the conference. Registration is subject to acceptance and availability, and the organiser may decline a registration without giving a reason. Registration is confirmed once the registration fee is received and the organiser confirms it.
Delegate Categories
The End-User Delegate rate applies to professionals from organisations operating, managing or transforming their own internal business services and enterprise functions, including GBS, Shared Services, GCCs, CoEs and related functions.
The Solution Provider Delegate rate applies to professionals from organisations that provide solutions, technology, consulting or outsourcing services to business services and enterprise functions.
The organiser may verify the selected category and apply the appropriate registration rate.
Fees and Discounts
All fees are in euros (EUR), per delegate and for the full two-day conference. The organiser is not registered for VAT; prices are final and no VAT is charged.
Promotional rates apply only during the published booking periods. Group discounts are applied as an additional discount to the applicable registration rate and are available to delegates from the same organisation registering together under one booking.
Payment
- Card payments (Visa, Mastercard, American Express) are made through the secure online checkout, processed by Stripe. The organiser does not store card details.
- Bank transfers must be paid in full in accordance with the invoice, quoting the invoice number or payment reference. All bank charges and transfer fees are the payer’s responsibility.
Cancellations and Refunds
All delegate registration fees are non-refundable, including cancellation or non-attendance.
Delegate Substitution
A registered delegate unable to attend may nominate a substitute from the same organisation, subject to prior written notification to the organiser and the substitute meeting the applicable delegate-category requirements.
Part B, Speakers
Speaker Confirmation
A speaking role is confirmed when the organiser confirms it in writing, including the session format (keynote, panel, case study, workshop or masterclass) and the date. Speaking roles are by invitation and personal to the speaker.
Speaker Pass, Travel and Accommodation
Confirmed speakers receive a complimentary pass for both conference days. Travel and accommodation, including flights, are the speaker’s own responsibility unless agreed otherwise in writing.
Speaker Information and Publication
Speakers provide their full name, job title, organisation, country, biography, a professional photograph and their session title and summary at least three months before the conference, unless agreed otherwise. By providing these, speakers agree that the organiser may publish them on the website, in the agenda and in conference promotion, before and after the event.
Presentations and Content
Sessions are practitioner-led: presentations share experience, decisions and results rather than sales pitches. Speakers are responsible for the content of their presentations, confirm that they hold the rights to all material used, and confirm that it does not disclose confidential information of their employer or third parties.
Presentation slides are sent to the organiser by the date agreed with the speaker. With the speaker’s agreement, slides may be shared with registered delegates after the conference.
Recording of Sessions
Sessions may be photographed, filmed and recorded. Speakers grant the organiser a non-exclusive, royalty-free right to use these recordings, photographs and their name and likeness for conference communications, event materials, promotion and future conference activities. A speaker who does not want a session recorded must tell the organiser in writing before the event.
Speaker Cancellation and Replacement
A speaker who can no longer take part informs the organiser in writing as soon as possible. A replacement speaker from the same organisation may be proposed, subject to the organiser’s approval.
Changes by the Organiser
The organiser may change session timing, format or panel composition where necessary. If a session is cancelled, the organiser is not liable for costs the speaker has incurred.
Part C, Sponsors and Partners
Sponsorship Agreement
Sponsorship packages and additional opportunities are confirmed by a separate written agreement or invoice, which sets out the deliverables, fees and deadlines and takes precedence over these terms where they differ.
Payment
Sponsorship fees are paid in full by bank transfer in accordance with the invoice. Deliverables are provided once payment is received.
Cancellation by a Sponsor
Sponsorship fees are non-refundable once the agreement is confirmed, unless the agreement states otherwise.
Logos and Brand Use
Each party grants the other a limited, non-exclusive right to use its name and logo solely to promote the conference, for the duration of the partnership. Logos are used as supplied and removed on request after the partnership ends.
Sponsor Content and Conduct
Sponsors are responsible for the accuracy and legality of their materials, including bag inserts and exhibition material. Promotional activity at the venue stays within the agreed package.
Sponsor Delegates
Delegate passes included in a sponsorship package are subject to the delegate terms in Part A. Additional sponsor staff register as Solution Provider Delegates.
Attendee List
Sponsors at the highest sponsorship level receive a list of registered delegates showing name, job title and company, for delegates who have not opted out. Email addresses and phone numbers are not included. The list may be used only to contact delegates about the sponsor’s conference-related offering, in line with data-protection law, and may not be shared, sold or used for other purposes.
Part D, Media Partners
Media Partnership
A media partnership is confirmed in writing and sets out what each party provides, usually promotion of the conference through the media partner’s channels and the media partner’s logo, name and link on the conference website and materials. No fees are payable unless agreed in writing.
Logos and Brand Use
Each party may use the other’s name and logo solely to promote the conference during the partnership, as supplied and without alteration. Use ends when the partnership ends.
Media Passes
Media partners receive one to two complimentary passes for editorial staff, as agreed. Media passes are personal, non-transferable and may not be used for commercial activity such as selling or exhibiting.
Reporting and Recording
Coverage of the conference is expected to be fair and accurate. Media partners may record sessions in audio and video for editorial coverage of the conference, in coordination with the organiser. Speakers who have asked not to be recorded are respected, and interviews with speakers are arranged through the organiser.
Ending a Media Partnership
Either party may end a media partnership by written notice. Logos and promotional materials are then removed within a reasonable time.
